To create a job in Epicor, follow the instructions below.
Open Epicor
- Select which plant you are operating in. Each plant is mapped to the relevant ServiceM8 account. For example the Perth plant is mapped to the Western Australian ServiceM8 account. Caution, jobs can be created in states other than your own, for example, if a job is to be completed in Darwin, the job would be entered into the Adelaide plant as it is more likely that the South Australian team will be attending.
- To choose the plant, select the desired option in the top right hand corner of Epicor
- Enter in SERVICE CALL CENTER in the search field of Epicor
- Select the desired result
- A new screen will appear
- Go to FILE>NEW or press the NEW icon
- Enter in the customer in the CUSTOMER field
- If you do not know the customer number, press the CUSTOMER button
- Enter the customer's name in the STARTING AT field
- Press SEARCH
- Select the desired result
- For accounts that do not have an account such as a consumer or end user, use the field service account for the relevant state being:
- NSW - 297772
- VIC - 397773
- QLD - 497774
- SA - 597775
- WA - 697776
- For accounts that do not have an account such as a consumer or end user, use the field service account for the relevant state being:
- Select the CALL TYPE from the drop down
- Select the ONE TIME SHIP TO tab
- Enter in all the job details in the ONE TIME SHIP TO fields
- the mobile phone number of the customer is required for contact and SMS reminder purposes
- the email address is required for surveying purposes after the job is complete
- the STATE must be in CAPITALS
- the postcode must match the suburb for validation purposes
- Press the SAVE icon
- Go to the LINE tab
- Press the NEW icon
- Enter in the MODEL number of the product that requires the service call in the PART/REV field. Alternatively, you can enter the work SERVICE here as well
- Enter the model and serial of the unit that requires the service in the MODEL SERIAL field
- the model and serial can be changed at any point in time in the ServiceM8 job or Epicor
- Enter in a date of purchase. if unknown leave blank
- Enter in an Error code. This field MUST have something entered
- If there is no error enter NA
- If there is a remote controller error, enter this data in such as E12.1 or 6A
- If there are LEDs flashing, enter in as OPERATION (count) TIMER (count) ECONOMY (count). Example would be 7x5xC where the:
- 7 is the OPERATION
- 5 is the TIMER
- C is the ECONOMY which is CONSTANT
- Enter in the complaint in the ISSUES field
- Enter in the access in the ACCESS field
- both fields must have text entered
- Press the SAVE icon
- Go to ACTIONS>CREATE SERVICE CALL JOB or press F4 to create the job and push it to ServiceM8
- Once job is created, a new screen will appear called SERVICE JOB ENTRY which can be closed
- On the SERVICE CALL CENTER screen on the LINES tab, after pressing REFRESH, the Epicor job number, ServiceM8 job number and CASE number is displayed
- If you right click on the JOB you can open with SERVICE JOB TRACKER
- If you right click on the CASE number you can open in CASE ENTRY
Go to ServiceM8
- Select the UNSCHEDULED JOBS filter on the right hand side
- Drag and drop the desired job into the agreed appointment time
- Open the job in ServiceM8 and select any relevant badges that are required
